CCGC Constitution

 

The Copperas Cove Gaming Club is hereby founded by Brian Lucid on (date).  This constitution shall determine how this organization will conduct itself and may be amended at any time by a majority vote of the members.

Elections: The four club officers are President, Vice President, Treasurer, Secretary. Elections will be held annually and any member may run for office.  Election meetings will be advertised 4 weeks prior to election and posted on the meeting schedule on the club web site.  All interested parties will submit their names to the secretary who will place their names on a ballot for voting at the election meeting.  The majority votes wins the office.  In the event of a tie the winner will be decided by coin toss.  In the event that no member fills the position the President shall assume these duties until such time as an officer can be found to take the position.  All officers must receive a majority of the votes on a ballot at a CCGC meeting in order to be elected.  

Officers:

            The President shall preside over the club and schedule all meetings.  Meeting agenda will be published on the web site and executed by the President at the weekly meeting.  The President will ensure all meetings are no longer than one hour in length.  The President ensures coordination for club events is made and that the providers of such events are compensated/coordinated with properly.

            The Vice President shall preside over the club in the Presidents absence.  The Vice President  is also the ombudsman/disciplinarian and will take charge of all grievances for the club.  The Vice President will welcome new members and add their contact information to the member list on the web site. 

            The Secretary will publish minutes from the meetings on the web site.  These will be kept as historical records of the club.  The secretary maintains the web site and provides ballots at election meetings.  The secretary produces fliers and itinerary for events for the club and asks members to distribute these as necessary. The Secretary maintains privacy act statements and any associated files for the club. Privacy act statements must be signed by members prior to posting their information on the web site.

            The Treasurer collects dues and sets dues rates for members of the club. These will be presented to the members during the meetings and/or logged in the minutes.  If the funds will be spent on something for the club all members present will vote and a majority provides approval for spending club money for the event.  The treasurer assigns cost fr members and non-members for events and pays the facility or point of contact for use of resources as appropriate.     

Open issues/Discussion:  Each member will be afforded the opportunity to bring an issue, topic, recommendation to the club for discussion at meetings.  If there is an action to be taken it shall be voted on and a majority indicated that the action will be pursued. 

 Membership Duties:  All members of the club will conduct themselves as ladies and gentlemen at all times.  The consumption of alcoholic beverages is prohibited at club events. Smoking is not permitted indoors during club events. Any instances of discrimination, lying, cheating, stealing or other un-sportsmanlike conduct shall be dealt with by the club as outlined in its discipline procedures below. 

Discipline: As stated in the purpose this club exists to have fun.  If there is ever a situation where a member feels she is being treated unfairly or perceives some kind of injustice we encourage the members to work it out with each other and come to a solution.  If there still exists hard feelings the member may submit a grievance to the VP.  The VP will then investigate the situation and if necessary bring the matter to a vote at the meeting. The situation will be addressed and both parties will be allowed to express their viewpoints.  Afterward a vote will be called by secret ballot to determine if a reprimand will be administered.  If the ballots tally a majority of yeahs an oral reprimand will be administered by the VP to the offending member and logged in the minutes.  For the second offense a written reprimand will be issued and a fine of $10.00 will be assessed.  These will be logged in the minutes.  For the third offense the membership will be revoked and logged in the minutes.  All votes will occur at weekly meetings and the offending/grieved members need not be present.
